Junior Project Manager

Egis is organized in 4 regions including France, Middle East & South Asia, Europe & Africa, and Americas & Pacific.
Our Americas & Pacific region covers a wide area that is itself divided into 5 sub-regions: Asia, Australia-New Zealand, Brazil, Latin America and North America.
Altogether, our Americas & Pacific region employs approx. 4,500 staff and generates approx. 500 MEUR in annual revenues.
To support the daily operations of our Americas & Pacific region, we are recruiting a Junior Project Manager who will:
1. Support the preparation, implementation and delivery of recurring activities, internal projects, action plans and initiatives including:
‐ Coordinate working groups:

- Prepare schedules, templates, dashboards, presentations and other files (incl. drafting, enhancing, reviewing and/or formatting contents in line with Egis’ corporate visual identity)
- Implement periodic routines with relevant stakeholders to gather information on progress, identify deviations, suggest corrective actions and ensure timely delivery of the expected outputs
- Organize meetings involving multiple participants in different time zones, draft meeting agendas, presentations, and minutes of meetings
‐ Develop and implement a consistent and structured regional reporting process:

- Draft simple and effective internal processes, guidelines, templates and tools to harmonize and enhance our regional operations and reporting
- Review and coordinate the update of the region, sub-regions and countries documentation and databases
- Analyze and coordinate the update of KPIs on the region, sub-regions and countries performance, processes and tools
- Provide clear and accurate progress reports to relevant stakeholders in the region
These recurring activities, internal projects, action plans and initiatives may cover the following areas:
‐ Human Resources
‐ Finance, Strategy, M&A integration, Internal Control
‐ Business Development, Marketing & Communication
‐ Transformation, Sustainability, Innovation & Digital
‐ Legal, Corporate, Ethics & Compliance
‐ Cross-functional topics
2. Support the region’s management committee:
‐ Schedule monthly meetings
‐ Draft meeting agendas
‐ Secure availability of guest participants
‐ Gather and draft consolidated presentation materials
‐ Draft and issue minutes of meetings
3. Support documentation filing and sharing among the regional team:
‐ Organize and maintain a shared filing system among regional executives
‐ Record, circulate and file relevant correspondence and documents
‐ Draft and translate letters and documents
‐ Process documents certification and notarization
‐ Deliver documents to third parties on behalf of the company

**Profil**:
4 Provide logistics support:
‐ Make travel arrangements, obtain required visas and permits, manage air ticket bookings, car rentals, hotel reservations

‐ Support visitors in organizing their schedules while visiting headquarters

‐ Anticipate needs for office supplies, stationery and process orders

5 Perform other supporting activities that may be required by the regional team

The Junior Project Manager will report to the Region COO and support the regional team.

We seek a Junior Project Manager with the following profile:

- Excellent organizational skills
- Results-oriented, able to propose solutions and take initiatives
- Attentive to details and able to deliver accomplished outputs
- Able to communicate efficiently with a wide range of stakeholders in a diverse environment
- Proficient in English and French, with Spanish and Portuguese being a plus
- Excellent command of MS Office suite, collaborative platforms and communication tools
