Travel & Events Operations Specialist

Reporting into our Senior Event Planner, and part of the Global Procurement and Workplace Experience team, you will be at the forefront of managing and optimizing our global travel and internal events operations. You will lead the development and improvements of travel processes and policies, maintain relationships with our travel service partners, and ensure operational efficiency and cost-effectiveness. Additionally, you will play a pivotal role in organizing and executing internal events, coordinating logistics, and enhancing the overall internal-event experience, contributing to the overall success and satisfaction of our teams globally.
**✈️ Travel operations**:
- Lead and develop Global travel processes and policies.
- Maintain relationship with Contentsquare Travel service partners to:Ensure operational efficiency and meet service level agreement expectations by managing the partnership, optimizing the use of the online booking system and reporting capabilities, and achieving cost reduction goals.
- Investigate and implement travel-related cost reduction opportunities while collaborating with Procurement to deliver excellent customer service.
- Develop and monitor operational metrics, performance plans, and KPIs.
- Continuously update and improve internal Confluence pages with relevant information and procedures for employees, serving as the primary contact for queries.
- Ensure a consistent traveler experience and client service delivery globally.
- Stay informed about the travel industry and market trends to ensure the Contentsquare travel program leverages all available opportunities in collaboration with Procurement.
- Proactively identify and implement new technologies and processes to enhance the Contentsquare travel program.
**\uD83E\uDD1D Internal events operations**:
- Assist in the delivery of internal events, both in-person and remote, including team gatherings and company-wide events.
- Coordinate event logistics, including communications, managing attendee lists, and tracking travel and transfers.
- Maintain and manage event travel budgets.
- Troubleshoot travel-related issues and provide exceptional customer service to event attendees.
- Support the creation and evolution of processes for delivering team gatherings and enhance the complete event lifecycle, including venue and vendor selection, agenda planning, and event execution.
- Conduct post-event evaluations and gather feedback to continuously improve future events.
- Ability to collaborate and manage relationships with a diverse range of internal customers and external business partners.
- Strong leadership and communication skills - oral, written, and presentation.
- Effective time management; ability to manage multiple priorities simultaneously.
- Problem-solving skills with sound business judgment.
- Doesn’t miss a beat with changing asks and balancing multiple projects
- Ability to see the big picture while also attending to details with exceptional attention to detail.
- Ability to execute detailed plans, collect and interpret data, and prepare concise summaries.
**\uD83D\uDCBC Minimum Requirements**:
- Fluency in French and English
- Experience in organizing both in-person and remote events.
- Experience in travel policies and processes, and budget management.
- Exposure to an international and/or global environment.
- Familiarity with G-Suite, and collaboration and productivity tools such as Confluence. Knowledge of travel-management would be advantageous.
