Type de contrat CDI localisation du poste Europe, Belgique, Lieu Bastion Tower - Brussels Place du Champ de Mars 5 **Description du poste**: 'As a senior project assistant you will be responsible of: - The organization of the meetings of the Board of Directors: assisting with drafting the meetings calendar, sending out the meetings invitations, perparation of food/drinks for meeting, train bookings for the directors, collecting and circulating supporting documentation - The relations with the directors: train bookings, reimbursement of expenses, follow-up of exchanges regarding practical organization matters related to meetings - The organization of the trainings of new in-coming directors / management board members - The assistance with the Fit&Proper process for new in-coming directors / management board members - The payment process for the DSA and DCL directors: managing expense notes, social security payments, quarterly payment of the directors' fees, etc. - The circulating documents to directors and management (via Firmex and Diligent Boards): in charge of documents cirulation for the Board of Directors meetings and Transaction Committee meetings; back-up for Management Board and Specialized Committees - The follow-up of payment of invoices for the General Secretariat and specifically the Corporate Secretariat - The assistance with documents drafting and reviewing (pre-preparing the "guide-fil" for the Board of Directors' meetings, minutes, certain memos and presentations by the Corporate Secretariat), translations, document formatting, assistance on annual report, etc. - Point of contact of General Secretariat for the permanent control and the follow-up of audit recomendations - The assistance with the organization of the general shareholders’ meetings of DSA and DCL: reserving meeting rooms, sending out convocations/invites, collecting attendance notifications/powers-of-attorney from shareholders, follow-up of exchanges with minority shareholders, directors and auditors, assisting with practical and technical organization of the meeting (PPT presentation, projection on screen, attendance lists, food and drinks, etc.) - The maintainance of all documents to be communicated to the Supervisors up-to-date (eManex and eCorporate) - The back-up of secretarial tasks in Brussels for Management **Profil recherché**: Fluency in French and English is required. Proficiency in MS Office (Word, Excel, Powerpoint, Outlook and Access), Docusign and Windows tools in the Cloud (Sharepoint, Forms, Teams, Outlook, etc.) is also required.
