Overview

The Wholesale ADV / Operations & Reporting Coordinator supports the Wholesale Director by managing day-to-day wholesale operations, ensuring order accuracy, coordinating logistics, and producing reliable Excel-based reporting. This role is key to securing client satisfaction and smooth operational execution across international wholesale accounts.

Reports to: Wholesale Director

Key Responsibilities:

Order Management & Customer Operations

  • End-to-end management of wholesale orders from entry to delivery
  • Ensuring order accuracy (prices, discounts, currency, quantities)
  • Acting as the main operational contact for wholesale clients
  • Proactive follow-up on deliveries, delays, backorders and discrepancies

Logistics & Internal Coordination

  • Daily coordination with Logistics, Planning and Warehouse teams
  • Monitoring shipments and allocations
  • Flagging and resolving issues before they impact customers
  • Ensuring alignment between Sales, Logistics and Finance

Reporting & Data Management (Excel)

  • Building and maintaining
    Excel reporting tools
    (orders, deliveries, backlog, sell-in)
  • Consolidating data from ERP and internal sources
  • Identifying inconsistencies and ensuring data accuracy
  • Supporting the Wholesale Director with regular performance and operational reports
  • Preparing ad-hoc analyses to support decision-making

Process & Support

  • Supporting the Wholesale Director on operational and reporting topics
  • Improving day-to-day workflows and reporting templates
  • Acting as a reliable operational point of reference for the team

Requirements:

Experience

  • 3–5 years in Wholesale ADV / Operations / Customer Service
  • Experience in fashion, luxury or consumer goods preferred
  • Exposure to international / US environments is a strong plus

Technical Skills

  • Strong Excel skills mandatory
    (pivot tables, VLOOKUP/XLOOKUP, basic formulas)
  • Comfortable working with ERP systems (Exenta, Signa)
  • Fluent professional English (written & spoken)

  • Comfortable juggling operational tasks and reporting
  • Able to work independently in a fast-paced environment
