As the Office Manager, you will be at the heart of daily site operations, ensuring that our teams have the administrative, logistical, and facility support needed to deliver safe, efficient, and high-quality services.

You will join an international environment, work with passionate teams, and have a direct impact on the employee experience and operational efficiency at the site.

Your Responsibilities

Smooth Office Operations

  • Ensure the day-to-day organisation of the office and act as the point of contact for employees, visitors, and suppliers.
  • Organise meetings, internal committees, customer visits, and local events.
  • Oversee administrative and document management tasks to ensure structure and compliance.
  • Manage office supplies, service contracts, and relationships with vendors.
  • Monitor office-related expenses and assist in budget follow-up.

Facility & Site Coordination

  • Coordinate maintenance, repairs, renovations, utilities, waste management, and general site upkeep.
  • Support compliance with safety and operational standards in collaboration with relevant stakeholders.

Supporting New Employees

  • Provide logistical support during onboarding (workspace setup, IT equipment, badge creation).
  • Act as a local HR support relay for basic administrative steps (not an HR role, but key operational support).

Travel & Project Office Assistance

  • Organize travel logistics for teams (hotel bookings, transportation, travel coordination).
  • Support the Project Office in preparing travel plans and documentation.

What You Bring

Skills & Experience

  • Strong proficiency with
    Microsoft Office 365
    (Outlook, Word, Excel, Teams, SharePoint).
  • Excellent organizational abilities and reliability in following through on tasks.
  • At least
    professional-level English
    (C1).
  • Previous experience in administrative coordination, office management, or executive support is a strong advantage.
