Summary:

The Senior Project Coordinator will administer and organize all types of projects, from simple activities to more complex plans. Project Coordinator responsibilities include working closely with our Project Managers and Leadership to prepare comprehensive action plans, including resources, time frames and budgets for projects.

Responsibilities

Essential Job Functions:

  • Perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries
  • Collaborate with clients and internal teams to deliver results on deadlines
  • Ensure that all projects are completed on time, within budget and meet high quality standards.
  • Recommend procedural changes to improve efficiency
  • Coordinate project management activities, resources, equipment and information
  • Accurately track program data in Excel and/or project management software
  • Organize and analyze data to inform reporting requirements and program design improvements
  • Break projects into doable actions and set time frames
  • Develop and maintain project schedules
  • Assign tasks to internal teams and assist with schedule management
  • Make sure that clients' needs are met as projects evolve
  • Establish budget formats in preparation for contract execution
  • Analyze risks and opportunities and provide recommendations to the PM's
  • Oversee project procurement management
  • Monitor project progress and notify PM's of any issues that arise
  • Act as the point of contact and communicate project status to all participants as needed
  • Work with the Project Manager(s) to eliminate blockers
  • Use tools to monitor working hours, plans and expenditures
  • Assist with preparation of contracts and terms of agreement
  • Create and maintain comprehensive project documentation, plans and reports
  • Respond to customer proposals and quote requests
  • Update/maintain shared drive with various documents
  • Tracking customer and vendor invoices
  • Monitor new hire on-boarding process
  • General administrative duties as required
Qualifications

Necessary Knowledge and Skills:

  • Strong client-facing and teamwork skills
  • Familiarity with risk management and quality assurance control
  • Should have excellent time management and communication skills
  • Detail-oriented and proactive in identifying potential issues or roadblocks
  • Strong problem-solving abilities and a flexible, adaptive approach to changing project needs
  • Ability to collaborate effectively with cross-functional teams and foster teamwork
  • High level of initiative and ability to work independently when necessary

Minimum Qualifications:

  • Minimum 5 - 7 years of proven work experience as a Project Coordinator or similar role
  • Experience in project management, from conception to delivery, solid organizational skills, including multitasking and time-management
  • Experience using the project management software such as
  • Secret Clearance is preferred but not required

Preferred Qualifications:

  • CAPM is preferred but not required
