Logistic & customer business support coordinator H/F

At Oticon Medical, we develop, produce and market bone-anchored hearing systems. At our site ITSA Medical in Vallauris (Sophia Antipolis), in the south of France, we specialize in the production of active implantable class III implants and soon also worldwide distribution of the company's full product portfolio. In addition, the site hosts an R&D team and the sales organization for France.

As part of the project to transfer the central distribution of Oticon Medical BAHS products from a logistics site of the Demant Group located in Poland to the ITSA Medical site located in Sophia Antipolis, we are looking for a Logistic & customer business support coordinator.

The Logistic & customer business support coordinator will be in charge of managing the customer service activities related to our distribution partners. You will be an essential link between the Distribution partners and the Oticon Medical Supply Chain and distribution teams.

You report to the Supply chain and Production Director.

Main missions / main activities

• Build lasting relationships with business partners.
• Maintain ongoing business relationships, supported by a strong knowledge of the product portfolio and processes/systems.
• Direct contact with distributors and subsidiaries
• Initiate improvement actions and projects to continuously strengthen the satisfaction of business partners.
• Monitor and analyze sales results and order returns against set objectives.
• Review and verify specific requirements of trading partners.
• Support the customer complaint handling process.
• Ensure the processing of the order flow in the ERP Business Central (BC), check the orders arriving in BC or enter the sales orders in BC for customers not integrated in BC and confirm delivery times
• Identify the needs of the different products and ensure the right supply from the supply chain department
• Prepare orders and follow up on deliveries in conjunction with the logistics team
• Issue invoices for customers and establish the necessary documents for shipping according to countries worldwide (commercial documents, transport, customs, etc.)
• Ensure the smooth running of product returns by identifying the appropriate return category, based on in-depth knowledge of the Medical BAHS return policy
• Issue credit notes for returns, and processing fee invoices for returns, in accordance with the Medical BAHS Return Policy
• Comply with pricing and trade policies
• Monitor and respect traceability in databases
• Support the resolution of disputes with customers
• Create, update and comply with procedures
• Implement indicators and dashboards for monitoring activities
• Implement corrective and preventive actions related to a service complaint
• Provide expertise in cross-functional project management and process optimization

Your profile

• Bac+4/5 in business or significant experience in a similar position
• 3 to 5 years of experience in commercial communication with customers
• Fluency in English (read, written, spoken) additional languages highly beneficial
• Knowledge of logistics flows and business processes
• Knowledge of international trade rules (incoterms, means of payment, etc.)
• Proficiency in Microsoft Office (Word, Excel, PowerPoint) and ERP tools, including Business Central
• Rigorous, organized and manage priorities
• Customer service and team spirit and ability to collaborate with different departments.
• Good ability to work in project mode, to carry out continuous improvement actions
