Job Summary

This Academic Records Manager will be responsible for managing the system High Point software, a bolt-on to PeopleSoft (student information system), which is used to ensure student coursework is program applicable (satisfies degree requirements) to ensure compliance with awarding of Title IV federal Financial Aid funds. This position will serve on a cross-functional team of Student and Academic Success and Technology Solutions and serves as the main point of contact for the 16 KCTCS colleges and System Office in areas including program plan table and course catalog setup and maintenance in PeopleSoft. This person will also be responsible for the communications to students related to course program applicability with input from the colleges. This person will serve as the first level of contact for resolution of system issues regarding Program Applicability. This person will provide leadership and advice to college staff regarding the local management of Program Applicability processes. This person will also be responsible for troubleshooting, as well as continuous improvement to the process to help meet the KCTCS strategic goal of students completing their degrees and other credentials in a timely manner.

This position will also be responsible for the management of all official KCTCS enrollment and degree reporting to the National Student Clearinghouse (NSC). Regular files will be submitted to NSC to ensure ongoing compliance with reporting to the National Student Loan Database System (NSLDS) through our contracted partner, NSC. These enrollment and degree file submissions can result in errors which must be resolved in a timely manner to ensure ongoing Financial Aid reporting compliance.

This is a defined-term contract position renewable each fiscal year and located in Versailles, KY.

KCTCS offers a hybrid work schedule with a requirement to be onsite a minimum of 3 days per work week. Hybrid work schedules are subject to periodic review and may be modified or terminated at any time.

Job Duties:

Project Leadership: Lead cross-functional team made up of staff from Financial Aid, Academic and Student Affairs, Admissions & Records, student financials, and academic advising to develop and maintain processes and PeopleSoft functionality for managing program applicability and accurate Financial Aid disbursement.

Maintenance and Problem Solving: Maintain program plan tables in PeopleSoft and address any issues as they arise in a timely and professional manner. Schedule and run nightly job set for course auditor (program applicability) software. Requires participation in end of term processing activities at the conclusion of each semester.

New Functionality: Lead teams, work groups, and committees to provide ongoing functional expertise which will include determining new processes, forms, and other items identified as necessary to implement for improved efficiency.

National Student Clearinghouse Reporting and Error Resolution: Creates annual NSC enrollment and degree reporting schedule and submits to NSC. Ensures timely submission of all files and resolves al file submission errors in a timely manner to ensure continued compliance with Financial Aid reporting requirements and deadlines.

Supervision: Supervise one FTE (Academic Enrollment Specialist) who maintains course inventory, program inventory and other tables in PeopleSoft database. Serves as a back-up to this position, as needed.

Perform Other Duties As Assigned: Performs other reliable and ad hoc duties as necessary for support of the area.

Minimum Qualifications:

Bachelor's Degree in Education, Computer Science, Higher Education or related fields and five years of relevant experience or equivalent.
