Overview:
Due to the retirement of the current Executive Assistant for the Commercial EMEA organization, we are now in the Waters Division hiring for an Executive Assistant to support the VP This role in based in our Commercial European Head Quarters in St Quentin, Yvelines, France and a great opportunity to work with the VP and the leadership team.
**Responsibilities**:
**Your responsibilities will include**:
- Calendar management & meeting scheduling - make decisions about prioritising and sequencing of meetings and interactions.
- Create presentation materials and correspondence with given input from leaders.
- Prepare & publish agendas for staff meetings; collect presentations and create content for departmental all hands meetings.
- Screening telephone calls, enquiries and requests, and handling them when appropriate.
- Draft meeting prep materials, attend team meetings, document action plans, follow-up with those assigned actions to ensure completion.
- Timely follow-up with meeting requestor(s) for agendas, pre-read/discussion documents, and expected outcomes/decisions required.
- Directs, leads and/or coordinates projects with various staff and departments generally involving work of a confidential nature and requires knowledge of the practices and procedures of the function, company products, policies and programs.
- Run and coordinate a Microsoft Teams channel for departmental communications
- Yearly planning of each executive’s department meetings.
- Process expense reports and invoices that come in through the executive office.
- Plan travel for the leadership team and VP including logistics, national and internal requirements and any special consideration which may require direction.
- Assists with Senior level confidential recruitment searches.
- Support onboarding for new senior level staff.
Qualifications:
**Experience**:
- Previous experience working for Senior Leaders in a corporate environment, preferably in a global organization
- Experience exercising discretion and confidentiality with sensitive company information.
- Working in a flexible environment where you juggle a range of different tasks and ability to prioritize tasks
- Proven experience of operating under pressure and to tight deadlines.
**Competencies**:
- Excellent interpersonal and communication skills, both written and verbal, ability to communicate with all levels of staff, senior management, peer administrative personnel
- Must be able to work independently with a proactive approach and communicate with all levels of the organisation.
- High level computer skills with mastery of Microsoft Office suite including Outlook, Teams, Excel and Power point
- Good organizational and time management skills
- Attention to detail
- Excellent Interpersonal skills and ability to list effectively
- Fluent in English and French
