Position
**I - MISSION**:
Take charge of administrative tasks related to purchasing and supply and contribute to the continuity of the service. Working with the various people involved, ensuring the operational monitoring of purchases, from the order to the management of disputes, in accordance with the processes in force.
Administering the Purchasing tool, updating it, training users and providing operational support.
Manage the negotiation of annual tariffs within the scope of Direct Purchasing.
Contribute to the deployment and continuous improvement of the processes and operating procedures associated with its scope.
**II - Activitiés**:
**Working with your line manager**:
- Administering the Purchasing software and participating in its smooth operation
- Create profiles, manage signature rights in accordance with processes and guidelines
- Create product catalogues, price lists and punch outs
- Update supplier contacts
- Train users and provide operational support for the tool
- Participate in version upgrades, in liaison with the software supplier
- Carry out operational monitoring of orders
- Manage the creation of orders in the purchasing tool and on supplier websites, support workers in their purchasing activities
- Monitor the correct completion of receipts in the purchasing tool, the collection of delivery notes and missing intervention reports.
- Manage supplier discrepancies, claims and disputes in conjunction with the accounts department.
- Manage open orders in conjunction with identified suppliers, providing the necessary support to internal users (opening accounts, monitoring expenditure)
- With UTECs’ support, source new references
- Document management:
- Participate in updating procedures and operating methods relating to the purchasing tool and process
- Support training:
- Train and support internal users in the use of business tools and processes
- Manage supplier consultations within the scope of the delegation (analysing needs, inviting tenders, analysing bids and making proposals for awarding contracts)
- Participate in the continuity of the warehouse supply service, complementing or taking over from external services.
**Requirements**:
**Skills**:
- 2/3 years' higher education as a SME-SMI or purchasing assistant, with experience gained in a similar role, ideally in a scientific environment.
- Knowledge of the activities and consumables (biological and chemical reagents, PPE) associated with research laboratories is a real plus.
- Perfect command of office automation tools (Word, Excel, Power Point, Internet)
- Knowledge of how an ERP Purchasing system works, punch out
- Good writing skills
- Professional English is a plus
