What You’ll Do:
Database Manager is responsible for the guest communication process for On Location’s client(s) guests. This includes communication with internal and external clients, program teams, verification of all data, as well as providing periodic status reports to a variety of stakeholders.
We will have roles starting throughout 2023 and early 2024.- Build excellent working relationships with the client project teams, individual business units and corporate departments globally- Lead key relationships with business units and corporate departments across the client’s key stakeholder groups to generate and stimulate participation for the hospitality programmes and other activities- Set up On Location’s guest / package management system to manage the associated packages from initial allocation and movements through to full reporting and reconciliation- Develop a clear understanding of the Hospitality Programme and daily schedule- Together with other teams, manage program elements such as, asset management, guest registration, itinerary management, ticket allocation, reporting- Work with the relevant internal teams to configure, implement, and manage the use of the platform for fully or partially managed hospitality programs, including package set up, invitation management, guest registration and itinerary creation- Prepare familiarisation training so that both self and team are fully conversant with all aspects of the programme including hotel facilities; event venues; excursion & activity venues- Contribute to the development of the guest communications content, invitations, pre departure and welcome packs, and post event communication- Liaise with Airport & Transport teams to ensure efficient arrival & departure systems- Manage all guest data within On Location’s system to ensure all data is accurate and current- Gain a thorough understanding of the hospitality package allocations and the data required- Develop processes and procedures and liaise with the Database Coordinator teams to ensure all reports/information communicated as necessary- Provide the relevant reports to On Location operational departments- Ensure the client has access to all relevant data- Work with key suppliers in the sourcing, scoping and delivery of digital/print elements- Adhere to General Data Protection Regulation (GDPR) and other event location Data Regulations- Manage a team of database Managers/Coordinators- Liaise with Team Managers to develop staffing strategy and team rotas- Devise effective communication system is in place to notify guests & team of any programme changes- Motivate team to ensure delivery of excellent service levels at all times

You Have These:
- Excellent computer skills with high proficiency in the Microsoft Office suite- Minimum 2 years of experience managing guest registration and credentialing for large-scale global events or hospitality programs.- Experience with registration systems and databases- Experience in managing a cross-cultural team of event professionals- Strong customer service ethic- Strong organizational and time management skills, with the ability to multitask and manage concurrent priorities
