About the Role

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our dynamic Experiments Division Group. In this role, you will play a vital part in ensuring the smooth operation of our research activities by providing comprehensive administrative support to our team of experts.

Key Responsibilities

  • Provide essential administrative assistance for the efficient functioning of the Experiments Division Groups.
  • Coordinate and organize a range of events, including seminars, meetings, workshops, and conferences, collaborating closely with other administrative staff.
  • Offer dedicated administrative support to Group Heads, streamlining their workflow and enhancing their productivity.
  • Manage group meetings effectively, including scheduling, preparation, and the accurate recording of meeting minutes.
  • Prepare, format, and edit a variety of documents and reports with precision and attention to detail.
  • Serve as a welcoming point of contact for new team members, providing guidance and support during their onboarding process.
  • Maintain and update the group's internal and external web pages, ensuring they are current and informative.

Required Qualifications

  • Secondary education coupled with secretarial training, or a higher education degree (BSc, Licence, HND, HNC, BTS, DUT, Bachelor, Meister, Vordiplom, Perito, Laurea Triennale, Diplomatura, Ingenieria Técnica, or equivalent) in a relevant field.
  • A minimum of 3 years of proven experience in an administrative role.
  • Proficiency in word processing and spreadsheet applications.
  • Exceptional organizational and methodical skills with the ability to manage multiple tasks efficiently.
  • Strong independent work ethic and a proactive approach to problem-solving.
  • Fluency in English (the working language at ESRF) and a good understanding of French.
