The Studio Administrator role at PTW is a vital position that requires a highly organized and detail-oriented individual to oversee the day-to-day operations of our studio. This includes managing facility maintenance, coordinating with external vendors, and ensuring compliance with regulatory requirements and company standards.

Key Responsibilities:

  • Oversee facility operations, including maintenance, repairs, cleaning, and security.
  • Develop and implement procedures for facility maintenance, safety, and security.
  • Coordinate with external vendors and contractors to schedule and oversee maintenance and repair activities.
  • Conduct regular inspections of facilities to identify maintenance needs, safety hazards, and areas for improvement.
  • Manage facility-related budgets, expenses, and contracts.
  • Maintain accurate records and documentation related to facility maintenance, safety inspections, and service contracts.

Administrative Support:

  • Perform administrative tasks, including drafting letters, memos, invoices, reports, and other documents.
  • Assist with department-wide initiatives and events.
  • Schedule meetings on behalf of management and external vendors and partners.
  • Prepare materials for internal and external meetings, including PowerPoint presentations, word documents, and Excel spreadsheets.

Financial Management:

  • Ensure supplier invoices are signed for approval by the correct authorized person.
  • Ensure supplier payments are made by the required date.
  • Review and analyze supplier accounts.
  • Inform management when a contract is due to expire or if there is a potential cost increase.

Production Support:

  • Support the production team with onsite recordings coordination and scheduling.
  • Support production processes and tools optimization.
  • Oversee local freelancers contracting and administration management.

Requirements:

  • Past working experience in a relevant role, preferably in a financial services and/or recording studio environment.
  • Relationship management with senior stakeholders, collaboration, and influencing skills.
  • Proficient in IT, Outlook, Excel, Word, and in-house systems.
  • Excellent communication and planning skills.
