Position Overview:

We are seeking an Administrative Coordinator to oversee the reception area and provide essential support to the People Services team within our AWWG Offices.

The primary objective of this role is to deliver high-level administrative assistance, manage front desk operations, welcome guests, and execute various clerical duties to ensure the office runs smoothly.

Key Responsibilities:

Executive Assistance to the Chief People Officer:

  • Organize schedules, meetings, and appointments, focusing on priority tasks.
  • Act as a primary point of contact for communications, phone inquiries, and correspondence.
  • Draft, revise, and format documents, reports, and presentations.
  • Coordinate travel logistics to ensure seamless arrangements.
  • Provide administrative support, including managing expenses and maintaining records.

Office Administration:

  • Regularly assess facilities to ensure operational efficiency.
  • Manage inventory of office supplies and address catering and hospitality requirements.
  • Supervise the reception area and oversee mail and package deliveries.
  • Assist in organizing and executing corporate events and meetings.
  • Support administrative functions and collaborate with internal teams.

Qualifications:

  • Minimum of 1 year of experience in a comparable position, ideally in a receptionist or administrative support capacity.
  • Fluent or native proficiency in French.
  • Fluent or native proficiency in English.
  • Intermediate proficiency in Excel.
  • Knowledge of Spanish is advantageous.
  • Strong problem-solving abilities.
  • Customer service-oriented approach.
  • Exceptional time management and prioritization skills.
