Administrative and Reception Oversight:

  • Manage both physical and telephonic reception, along with overseeing the email communication channels.
  • Handle incoming mail and packages, including collection, sorting, distribution, scanning, and archiving.
  • Draft documents, compose correspondence, and create presentations as needed.
  • Maintain and update various reports and monthly data entries.

Daily Operations Management:

  • Ensure efficient daily operations of the agency, including the upkeep and utilization of resources such as meeting rooms, lockers, and parking areas.
  • Oversee inventory management and place orders for office supplies and equipment.
  • Request and evaluate quotes for routine agency expenditures.

Onboarding and Offboarding Coordination:

  • Facilitate the security reception and onboarding process for new employees and external partners, including updating safety protocols and managing access rights.
  • Coordinate the offboarding process for departing employees, ensuring the return of company property.
  • Manage employee assignments and related administrative tasks using designated software.

Travel and Event Coordination:

  • Assist in planning travel arrangements and manage individual accounts for transportation and accommodation bookings.
  • Organize various agency events, such as social gatherings and year-end celebrations.

Facility Management and Security Protocols:

  • Develop and implement procedures for managing access to facilities, including badge issuance and tracking.
  • Coordinate and oversee external visits for maintenance and safety inspections.

Candidate Profile:

  • Demonstrates a results-driven approach with a strong service orientation, complemented by excellent interpersonal and written communication skills.
  • Proficient in English.
  • Familiarity with SAP systems is advantageous.
