Job Summary
Rakuten Kobo Inc. is seeking a highly organized and detail-oriented Facilities Coordinator to join our team in Luxembourg. As a key member of our facilities team, you will be responsible for providing generalist support and ensuring the smooth running of our offices.
Key Responsibilities
- Serve as the main point of contact for vendors, visitors, building management, and employees.
- Manage incoming and outgoing mail, greet and check-in/out office visitors, and ensure the office is kept clean and organized.
- Coordinate meetings, manage conference rooms, and oversee the office needs, including ordering supplies and managing suppliers.
- Support the administrative tasks of the General Manager and CEO, including managing Visa statements, making expense claims, and arranging business trips.
- Assume responsibility for the office renovation process and support emergency preparedness plans.
Requirements
High level of flexibility, adaptability, and administrative skills. Strong attention to detail and organizational skills. Proven office management, administrative, or assistant experience. Excellent time management skills and ability to multi-task and prioritize work.
