About the Role
Rakuten Kobo Inc. is seeking a highly organized and detail-oriented Facilities Coordinator to join our team in Luxembourg. As a key member of our facilities team, you will be responsible for providing administrative support and ensuring the smooth operation of our office facilities.
Key Responsibilities
- Serve as the main point of contact for vendors, visitors, building management, and employees of all 4 entities located in Luxembourg.
- Manage incoming and outgoing mail, greet and check-in/out office visitors, and ensure the smooth running of the facilities.
- Work with the remote IT support team to provide basic IT support and keep the office clean and organized.
- Oversee and coordinate archiving for all 4 entities, ensure smooth onboarding of new employees, and update system information for new hires and terminations.
- Schedule and coordinate meetings, manage conference rooms, and oversee office needs and ordering supplies.
- Liaise and manage suppliers/contractors effectively and organize internal events to enhance employee well-being.
- Support the administrative tasks related to the General Manager of Rakuten Europe and CEO of Rakuten Europe Bank, such as managing Visa statements, making expense claims, and arranging business trips.
- Support and monitor the office renovation process of all 4 entities in Luxembourg and assume responsibility for emergency preparedness and fire drills.
Requirements
- Bachelor's degree in management, public administration, human resources management, computing & information technology, or business administration/business management.
- + 3 years' experience in office management, administration, or a related field.
- High level of flexibility, adaptability, and administrative skills.
- Strong attention to detail and organizational skills, with the ability to work in an efficient manner and under time pressure.
- Excellent time management skills, ability to multi-task and prioritize work, and excellent interpersonal and customer service skills.
Language Requirements
Fluency in English is mandatory, and French is preferred. Any other language spoken in Luxembourg is a plus.
