Job Summary:
The Reservations Supervisor is responsible for maximizing room sales and revenue in a hotel environment. This role requires strong communication and problem-solving skills to ensure seamless guest experiences.
Key Responsibilities:
- Revenue Generation: Assist in maximizing room sales and revenue through effective selling and up-selling techniques.
- Reservation Management: Monitor and ensure all reservations are input into the system promptly and accurately, and confirmed back to the guest/client.
- Room and Rate Management: Review room and rates availability, hotel status, close-out dates, and overbooking situation regularly.
- Team Collaboration: Cooperate within and between other departments to ensure smooth hotel operations.
- Critical Situation Management: Inform/reserve manager for critical situations and consult with team before making decisions.
- System Maintenance: Maintain reservations and rooms & guest services systems, procedures, company standards, and policies.
- Data Management: Update data system for contracts, rates, agreements, guest/client information, and other important data.
- Reporting and Analysis: Maintain accurate records for future business plans and generate weekly and monthly reports.
- Guest Services: Ensure reservations agents are knowledgeable about hotel facilities/services.
- Group Reservations: Monitor and coordinate group reservations activity with Sales Department and Revenue Manager.
- Tentative Bookings: Follow up tentative bookings and update reservation status.
- No-Show and Cancellation Management: Review no-show and cancelled reservations and process charges according to hotel's policy.
- Personnel Management: Perform other duties as assigned by Reservations Manager, conduct daily debriefing and briefing with reservations teams, administer personnel actions as assigned by Manager, and recommend corrective actions for job standard variances.
- Communication and Time Management: Communicate effectively with guests, subordinates, superiors, and other section heads, manage time effectively, identify and solve problems professionally, and assist others to ensure smooth operation.
- Staff Development: Coach, direct, supervise, and counsel reservations staff.
- Community Relations: Interact with clients, guests, important individuals/companies in the community to promote the hotel.
Requirements:
- Education: College Degree or Diploma in Business, Hospitality, or related field preferred.
- Experience: Minimum two years Hotel Reservations position experience, preferably in an upscale or lifestyle brand hotel.
- Technical Skills: Computer literate with knowledge of Fidelio and Delphi.
- Language Skills: Strong verbal and written communication skills in English with Arabic desirable.
- Soft Skills: Maintain positive and productive working relationships with other employees and departments, ability to work independently and promote teamwork environment.
