Job Summary

The Venue Management Coordinator plays a key role in supporting the Host Broadcast Services (HBS) team's day-to-day activities related to various FIFA projects in the United States.

As a key member of the Host Broadcast Services team, the Venue Management Coordinator will be responsible for maintaining and updating administrative, project management, financial, and project tools used across HBS for the FIFA Club World Cup 2025.

The Coordinator will actively contribute to the alignment of department activities and support the Broadcast Venue Managers (BVM). They will be the main Venue Management contact for coordinators holding similar roles at other HBS divisions/departments.

Main Responsibilities

  • Enter relevant information and data in corporate HBS tools and work in close cooperation with the Project Management Office (PMO).
  • Assist VM members in monitoring the progress of the project and ensure its alignment with the timeline and key milestones.
  • Maintain communication and liaise with other divisions and departments to ensure a synchronous way of working and proactive alignment on target dates and procedures.
  • Plan regular meetings on behalf of the VM team to ensure necessary follow-up and coordination on ongoing projects.
  • Assist VM members in drafting agendas, presentations, and minutes for both internal and external sessions.
  • Coordinate travel arrangements and accommodation needs for VM staff members in cooperation with the logistics department.
  • Support VM members in the preparation and development of project-related documentation.
  • Coordinate staffing plans through relevant tools to provide relevant information to Logistics, Human Resources, and IT.
  • Liaise with appointed suppliers to implement their staffing and logistics plans.
  • Assist the VM department in elaborating the Purchase Order (PO) process and verifying invoices according to applicable HBS financial procedures.
  • Coordinate with another VM coordinator to maintain consistency across all department and project-related activities.
