Associate Director of College Events Management

The role involves assisting in the strategic planning and implementation of significant institutional events. Act as the primary contact for both internal and external stakeholders utilizing college facilities for various event and conference services.

  • Collaborate with the Senior Director in developing program content, overseeing logistical arrangements, managing data, and executing the College's hallmark events (such as Commencement, special ceremonies, MLK Convocation, Homecoming, etc.). This position also aids the Senior Director in preparing for other campus-wide events as required or authorized by the leadership team (including Inaugurations, Centennial Celebrations, Building Dedications, etc.). Manage data and online content for all primary events under the guidance of the Senior Director, coordinating with different departments to facilitate event planning. Contribute to evaluation efforts to analyze the success of events on an annual and multi-year basis. (45%)
  • Under the direction of the Senior Director and in partnership with the General Counsel, review, assess, and execute legal agreements for both paid and unpaid conference services, including on-site faculty or staff members hosting meetings, ensuring compliance with institutional policies. Independently organize, facilitate, and oversee risk management for over 300 on-site conferences occurring on weekdays, weekends, and evenings. Coordinate with campus support services (such as Academic Media, Physical Plant, Public Safety, Cleaning, etc.). Prepare monthly and/or annual reports on events and conferences. Work alongside the Senior Director on periodic evaluations and assist in the development of policies for the conference manual; conduct annual training sessions for faculty and staff compliance. Ensure all necessary insurance documentation is received for the institution. Review the annual calendar and corresponding space requests to assess compatibility with the group. (40%)
  • Act as the backup and on-site facilitator for both the Senior Director and the Director of Advancement & Special Projects, including but not limited to Engagement Events, Reunions, and other special events as required. (10%)
  • Schedule and conduct regular one-on-one meetings with the Graduate Assistant to provide mentorship and feedback regarding upcoming events, workflow, venue scouting, hotel arrangements, and general event support. (5%)

**Education and Experience Required**

  • A Bachelor's Degree from an accredited institution is required.
  • Three to five years of experience in event management or a comparable combination of education and experience is required.
  • Exceptional oral and written communication skills are essential.
  • Proficient computer skills and knowledge are necessary.
  • Experience in a higher education environment is preferred.
