Accounts Payable Specialist

WORK HOURS: 8:00 AM TO 5:00 PM (Monday-Friday)
This role requires an individual to execute financial tasks involving accounting records and operations. General office duties, clerical responsibilities, and computer work are integral to this position.
The responsibilities outlined below represent the primary activities associated with this role. Management may assign additional tasks related to the nature of the work as necessary.
- Maintains the subsidiary ledger for municipal gas tax revenues.
- Prepares and organizes documentation for record retention.
- Sorts and distributes customer invoices to relevant city departments.
- Reviews and oversees the posting of purchasing card transactions; inputs data into the accounting enterprise resource planning (ERP) system, verifies accuracy, and makes necessary corrections.
- Processes purchase confirmation letters (PCL) and manages refunds.
- Handles employee expense claims and petty cash reimbursements.
- Assists with various purchasing and accounts payable tasks, including scanning payments, managing supporting documentation, and handling incoming mail.
- Oversees postage meter operations and coordinates with equipment providers and couriers to ensure schedules and equipment function smoothly.
- Ensures confidentiality of records in accordance with applicable laws.
- Reviews and verifies statements and schedules for accuracy.
- Performs related duties as assigned.
Requires a high school diploma or GED equivalent, supplemented by one (1) to two (2) years of experience in accounting, purchasing, or payroll; or an equivalent combination of education, training, and experience that provides the necessary knowledge, skills, and abilities.
Experience with Central Square applications is preferred.
Proficiency in Microsoft Office applications is essential.
Must possess and maintain a valid Florida state Driver's License with a satisfactory driving record.

Specific vision abilities required by this job include close vision, color vision, and ability to adjust focus. Ability to type at least 25 words per minute.
Mathematics:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
Language Ability:
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
Reasoning:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
