Psychiatric Admissions Coordinator

We are seeking a highly skilled and compassionate Psychiatric Admissions Coordinator to join our team at McLean Hospital. As a key member of our admissions team, you will be responsible for facilitating the inpatient admission process for psychiatric and substance abuse referrals across four campuses.
Responsibilities- Interview patients, family members, or referring professionals to obtain clinical and demographic data, following established admission procedures.
- Gather comprehensive and accurate information relevant to the need for inpatient admission, as demonstrated by minimal need for clinicians to recollect same data.
- Review EPIC records for patients being referred within MGB, reviewing clinical, medical, and ED timelines to review patients' full clinical presentation.
- Triage urgent and emergent calls to appropriate levels of care, including referral of patients in crisis to emergency rooms when indicated and/or contacting 911 regarding patients at immediate risk.
- Respond to preadmission inquiries promptly, as indicated by lack of complaint.
- Interact with patients, family members, or referring professionals in a courteous and professional manner, as indicated by lack of complaint.
- With medically or psychiatrically complicated cases, review inquiries with Unit Nursing Supervisors or Doctors on Call or department managers in a timely and professional manner, as indicated by lack of complaint.
- Provide MGB-wide bed searches following established triage procedures.
- Review clinical and financial information in EPIC according to established procedures to make referrals to participating MGB facilities, based on clinical needs and managed care contracts.
- Act as a resource to MGB-wide facilities regarding services and bed availability within MGB.
- Provide psychiatric triage for Franciscan's Children's Hospital inpatient.
- Provide public relations functions by handling inquiries regarding services at McLean, its affiliates, and other MGB psychiatric facilities.
- Continually reassess census and bed availability.
- Assign patients to appropriate units based on census, clinical presentation at preadmission, and contract requirements across four McLean campuses.
- Maintain electronic bed boards in Teams to accurately reflect real-time census, expected admissions, and anticipated discharges.
- Provide units with clinical information and expected times of arrival.
- Discharge patients in a timely fashion in EPIC when units leave voicemails on discharge lines, accurately reflecting discharges on electronic bed boards in Teams and reflecting census changes.
- Complete financial screenings according to established procedures.
- Verify insurance coverage via email to PFS or via NEHEN, EPIC, or via telephone.
- Interpret insurance data to determine the need for any special procedures and/or co-payments or deposits.
- Complete eligibility determinations and precertifications when necessary.
- Review financial information with Patient Financial Services or Director of Intake for approval when necessary.
- Enter patient information into EPIC completely and accurately.
- Enter accurate patient demographic information into the system.
- Verify no duplicate MRNs exist in EPIC.
- Enter complete referral information into the system to be used for marketing purposes.
- Enter accurate patient Financial Status Classification (FSC) information into EPIC.
- Enter accurate patient Visit Level information into EPIC.
- Enter accurate ADT transactions into EPIC in a timely manner.
- Print wristbands, labels, and face sheets.
- Maintain confidentiality of departmental information according to established procedures with no reported errors.
- Release confidential information only in accordance with the Confidentiality Policy and/or the approval of the Department Head.
- Assure the security of departmental files at the end of each workday to protect confidential information.
- Assist in the training of new intake coordinators when hired into the department.
- Submit suggestions to departmental management regarding improvement of operations and efficiency.
- Notify supervisors or coworkers of availability to complete other duties.
- Perform other duties as assigned.
- Complete admitting paperwork.
- Collect necessary deposits from patients or guarantors.
- Complete any release of information forms.
- Complete/send notification of admission and other relevant paperwork as required by specific contracts.
- Interact with departmental hospital staff in a professional and cooperative manner.
- Education: B.A., B.S., or equivalency.
- License: N/A
- Skills: Demonstrated strong interviewing skills, clinical knowledge of psychiatric diagnoses and treatment, data entry, excellent interpersonal communication via telephone and in person with a high degree of comfort working with a psychiatric population. Must be able to handle sensitive information with discretion and good judgment, knowledge of computer terminals, EPIC, and Microsoft Teams preferred. Keyboarding. Above-average job performance as indicated in evaluation.
- Experience: Three to five years of experience in mental health care settings and at least one year as a psych triage associate.
