Event Coordinator Job Description

We are seeking a highly skilled Event Coordinator to join our team at SAWOO GmbH. As an Event Coordinator, you will be responsible for the preparation, execution, and follow-up of our regularly scheduled meetups.

Key Responsibilities:

  • Prepare and execute meetups, including preparation of materials, coordination with venue staff, and ensuring a smooth event experience for guests.
  • Warmly welcome guests, hand out name tags, and ensure that the service staff provides guests with food and drinks or actively ask guests for their drink preferences.
  • Support the meetup host with all matters during the event, including ensuring that the agenda set by the meetup host is followed and that guests fill out an exit questionnaire before leaving the meetup.
  • Follow up on the evening of the event by filling out a small personal questionnaire to provide feedback about the event, updating the participant list with the challenges mentioned during the introduction round and the participants' experiences, and ensuring that the participant list is complete and correctly filled out.

Requirements:

  • At least 2 years of experience in upscale hospitality (preferably in reception or service) or gastronomy, and knowledge of what excellent service entails.
  • Confident and professional interaction with international guests and executives.
  • Native-level English language skills.
  • Full commitment, proactivity, and eagerness to take initiative.
  • Reliability and attention to detail in the preparation and follow-up of meetups.
  • Openness to feedback and new ideas.
