Job Summary
The Production Coordinator will support the Production Managers in all aspects of developing and managing multiple deliverables during the preparation and operational phases of different events.
This includes general organization, planning, and administration of the relevant areas, as well as updating reference documents, the organization of event-specific briefings, and contribution to the budget cost tracking.
Project coordination will also be a key element of the position, overseeing other areas of the delivery chain (logistics, venues, etc.).
Main Responsibilities
- Coordination tasks within the production department
- Organization of reference documents, event-specific documentation, and briefings
- Contribution to production-specific workflows and organizational structures
- Coordination and liaison with all other HBS departments
- Coordination with subcontractors on administrative and logistical matters
- Assisting the production managers with budget cost tracking
- Raising purchase orders, processing invoices, and contribution to contracts
Requirements
- Previous experience as a production coordinator and/or production assistant
- Tournament experience and experience with a focus on sport productions are beneficial
- Excellent attention to detail and experience in processing production-related paperwork (running orders, cue sheets, call sheets, etc.)
- Fluent in English. Spanish and French proficiency may be a plus
- Ability to multitask and switch between multiple projects
- Open to continuous adaptation and evolution of existing procedures
- Strong communication and interpersonal skills
- Excellent computer skills and a good understanding of Microsoft Office, especially Excel and PowerPoint
- Open to travel, including long-term stays
- Expected to work a minimum of 3 days per week in the office in Paris/Boulogne
- Pro-active work attitude
