**Academics**
- Establish and maintain close relationships with the host universities;
- Confer with the host university in reference to any academic matters that arise during the pre-departure, on-site and post program phases;
- Oversee that students are registered at the universities and assist the students with course selections at the university;
- Assist students in their preparation for their university courses, including the delivery of a comprehensive academic orientation.
**Accounting**
- Submit all original receipts for expenses and accounting once a month (the 1st week of the month following expenses) to the Concur expense reporting system and API US Accounting department;
- Follow program and all budget guidelines;
- Compile cost information for program pricing purposes, following supervisor’s indications.
**APIConnect**:
- Fully integrate the API Connect platform for efficient academic management, including but not limited to course libraries, funnel analytics, and registration processes.
- Employ the API Mobile App for a holistic delivery of services.
- Adopt API Connect platform to power academics (internal + external): course library, funnel analytics, & registration.
**API policies and procedures**
- Read and understand the Company’s API On-site Manual (Resident Director Manual);
- Follow API policies and procedures as outlined in the API RD Manual and as communicated in other manners.
**Customized programs support**
- Help to develop unique itineraries for programs sponsored with U.S.based universities;
- Compile logístical preparations for customized programs;
- Execute customized programs with students and accompanying faculty leaders.
**Health and safety**
- Inform students of safety and security policies and procedures;
- Ensure students comply with the host university’s policies, procedures and expectations;
- Respond quickly and efficiently to emergency situations, sharing incidents with Company;
- Be the emergency contact on call during students stay in host city and during official program excursions outside the host city;
- Compile and maintain a list of English-speaking doctors, counselors, and any other needed medical professionals, for student referrals. Refer and accompany participants to doctors as needed;
- Implement emergency protocols in consultation with the U.S. Student Success team and support participants during on-site crises (e.g., alcohol or drug-related incidents, physical assaults, terrorist attack, hospitalization, etc.)
- Coordinate and manage immigration visa paperwork as required.
**Housing**
- Maintain relationships with housing agencies, host families or other accommodations being used for students;
- Monitor housing arrangements, contacting any host families/guest house landlord (if applicable) at least once a month;
- Identify new housing options for students as necessary to accommodate increases in cohort sizes;
- Work with API Texas' Student Success team to make housing arrangements and to make any changes, should the need arise from a student, during the term.

- Assist participants in resolving housing concerns.
**Student success and cultural support duties**
- Ensure participants are aware of the API goals and target outcomes;
- Work with Company to prepare for participant arrivals;
- Oversee hotel and other reservations and communicate plans to Company;
- Conduct the initial orientation with the participants, ensuring that participants are informed of safety and security policies and procedures;
- Share knowledge of host country culture, family structures, and etiquette;
- Maintain open communication with participants regarding adaptation to life in the host city and local environment;
- Act as “cultural coach” for the participants, assisting them in their transition into a new country, while they deal with homesickness, etc.;
- Assist participants in finding outlets of interest in the city (e.g., music or sports groups, etc.);
- Maintain regular hours of availability for the participants and meet with the participants each week. This can be a time for a cultural event or just going for coffee and visiting together (groups of one or more);
- Inform participants of cultural events that are happening in the city, and offer cultural activities at least two times per month (generally during evening hours);
- Organize and lead participants on excursions: 1-2 weekend excursions and 2-3-day trips per semester, according to the program arrangements;
- Provide your Resident Director with regular updates of meetings and activities with programme participants, and of any concerns you may have about participants or their activities. Go to your RD for procedural, policy, or programming concerns.
