Fleet Assistant

**THE ROLE**:
**You shall**:
Comply with IMS and all relevant international rules and regulations;
Ensure all your duties in accordance with quality, health, safety, environmental and ethics policy;
Propose a continuous performance improvement plan which will be reported and reviewed on a periodical basis.

**RESPONSIBILITIES**:
1. Vessels follow up

Maintain vessel archives and ensure necessary backup routines;
Update records for the Weekly Fleet Operations Meeting;
Prepare administrative extract of the performance statistics (Operating Cost, Off Hire, SDRs, other KPIs);
Dispatch all mails to the vessels and maintains records including service reports;
Support the superintendent for services and repair requirements and ensure follow up.

2. Safety inspections and surveys

Dispatch certificates and update records in TOUCH;
Assist in planning, execution and verification of surveys;
Assist in validation of certification and Class documentation of assigned vessels.

3. Invoices

Create purchase orders as requested;
Handle and manage all problematic invoices.

4. Administrative tasks

Schedule appointments, meetings and travel itineraries and coordinate related arrangements;
Arrange travel for fleet staff in accordance with company policy;
Prepare and distribute all fleet summary reports requested by management;
Supervise arrangements of trainings courses for the superintendents and keep records;
Coordinate meetings to evaluate experience feedbacks and service letters and distribute documentation as assigned.

**PROFILE AND QUALIFICATIONS**:
Minimum qualifications

Competent with various software, such as Word, Excel, PowerPoint etc;
Adequate qualifications in line with industry standards.

Experience

Maritime environment preferred.
