The Campus Services Department at INSEAD ensures the smooth operation and management of the school's global campuses. It provides a range of essential services, including facilities management, catering, housing, and security, ensuring a comfortable and safe environment for students, staff, and visitors.

We are currently looking for an **Assistant, Planning and Reservation**to join the team **Campus Services**on our **Fontainebleau**campus. This is a permanent, full-time position.

**About the job**

The Assistant, Planning and Reservation coordinates reservation requests for participants, faculty, staff, alumni and visitors and participates in the allocation of groups ensuring the optimization of the occupancy at INSEAD Hotels and securing rooms at our partner hotels. She/He ensures the hotel activity planning is always up to date.

The position holder will report to the Hotel Yield Manager.

**Your role within the team**

**Group allocation**:

- Dispatches group requests between the campus and partner hotels.
- Prepares and dispatches group rooming lists, guest information and preferences to hotels.

**Reservations**:

- Confirms of hotel, dates, price, terms & conditions, payment methods etc
- Answers queries and questions from potential guests & event organisers.
- Contributes to training of Front Desk staff with reservation process respecting group, quota & pricing commitments and communicating with them regularly on any specific group terms, prices & reservation codes.

**Online reservations**:

- Accountable for the online reservation (block booking & generation of booking code).
- Ensures information is accurate and up to date as required by each group.

**Partnerships building**:

- Maintains relationships with local hotels through open and regular communication.
- Negotiates favourable conditions for INSEAD participants.
- Shares guest feedback.

**Front Desk & Guest Relations**:

- Depending on activity and when and where necessary - participates in Front Desk operations including check ins/outs, concierge services, guest billing etc
- Higher education in Hospitality or Administration.
- Minimum of 4 years in international hospitality context.
- Strong team player and able to work autonomously at the same time.
- Excellent organizational skills with attention to detail.
- Good communicator.
- Good command of both written and spoken English.
- _Fluent French an asset. _
- _Functional skills: _PMS & Reservation Tool savvy; Pack OfficeClient focused.
