Why this Role Matters

The primary function of the Private Sale Coordinator is to provide administrative support to Private Sales transactions across the Art Departments in Paris, including managing consignments, processing invoices, and updating spreadsheets. The Coordinator is also responsible to administrate and coordinate Private Sale consignments in exhibitions and views in Paris.

This role is client facing, working directly with the Business Coordinator on all aspects of business development and coordination of private sales.

How You Will Make An Impact
- Private Sales Coordination:_- Oversee the process for private sale transactions; key contact to arrange property pick-up, security, generate contracts, invoices and other relevant documentation.- Liaise with Private Sales Centre, legal, insurance, accounts and shipping for day-to-day matters.- Possess detailed knowledge of the correct principles to Christie’s private sales.- Draft contracts and coordinate amendments with legal.- Help to define and instill best practices within the departments and across Paris.- Oversee due diligence.- Liaise with VAT experts and Private Sales Centre on VAT, Droit de suite and other enquiries on behalf of the specialists.- Liaise with Indirect Tax Manager on Taxe Forfaitaire, collect the necessary documents and assist Specialists with TXF enquires.- Keep oversight of movement of private sales property.- Completion of forms for invoicing with the team as required.- Help organizing client viewings liaising with other members of the Private Sales team; understand which spaces are available, and liaise with specialists, operations and client services team to ensure exceptional client experience.- Prepare materials for Weekly Private Sale Meetings.-
- Oversee the process of acquisition by French institutions working closely with legal.
- Exhibition Coordination:_- Maintain daily administrative tasks related to contracts, shipping, purchase order processing, and scheduling for all the works included in exhibitions.- Follow the implemented timelines regarding exhibition requirements, property lists, and install schedules in partnership with the Exhibition Coordinator.- Liaise and communicate with the Exhibition team, the Specialists, and Operations regarding the layouts and installations.- Liaise with outside vendors, contractors, and suppliers.- Other duties as assigned by manager.
- Inventory coordination:_- Maintain and update private sale runners for every Art Cluster in Paris.- Keep all property details organized and filed in specific folders.- Oversee tracking of payments of sold works and collection of paid works, track extended payment terms.- Update Private Sale App with the support of other members of the Private Sales team (ex. update asking prices, create viewing rooms, prepare price lists, check inventory and remove sold works).
- Additional Responsibilities:_- Work closely, efficiently and effectively with other departments including international and regional offices, support departments, external organizations, individuals and institutions.- Other duties and projects as assigned by Specialist Head of Private Sales & Business Management Team, including any Private Sales project visible on the website.

What You Will Bring To The Team- Bachelor’s degree preferred, or a minimum of 1-3 years relevant work experience in auction, gallery or similar environment. Knowledge of art history a plus.- Knowledge of E-mail, Spreadsheets, Word Processing and Presentation software (Microsoft Office Suite preferred).- Superior client service skills and extreme discretion with confidential and sensitive information.- Excellent oral and written communication skills.- Flexible team player with initiative.- Excellent organization skills and attention to detail.
