**Who we are**
Genomines is a young biotechnology company based in Paris and Saclay, specialized in sustainable extraction of Nickel from plants. Our Team has already been active for 2 years, focussing mainly on research and development. The mission of Genomines is to usher in a new era of sustainable mining by using genetically enhanced plants to extract metals from soil (Agromining). Through synthetic biology and cutting-edge technology, we harness the power of nature to create bioengineered plants that can extract metals while decontaminating soils and creating cleaner lands for agriculture. Our ultimate goal is to become the world's first carbon-neutral mining group, using sustainable and environmentally friendly methods to extract the precious resources our society needs.
**What We're Looking For**
As we are currently entering our next development phase, your work will be pivotal for our growth We are looking for an experienced and dynamic Executive Assistant, one who is not afraid of tackling new challenges. You will be working closely with the CEO/founder to support him in his day-to-day activities. And as we are growing rapidly, you will also contribute greatly to the DNA of Genomines by creating and implementing the right processes.
We are a young and vibrant international team challenging a well-established and polluting industry. Thriving in this role requires you to be entrepreneurial, dynamic and proactive and have an excellent ability in solving complex problems as well as in charismatically collaborating seamlessly across all tiers of our organization.
The range of your responsibilities will evolve as the company grows. However, you can expect to perform the following
Administrative
- Extensive diary management and work closely with all team members
- Schedule travel planning events
- Develop strong working relationships with key internal and external stakeholders
- Event Management for dinners, external lunches, away days, and regular in-house meetings
- Administration of expenses, to ensure all expenditures were authorized appropriately
- Review legal contracts and NDAs
- Coordinate numerous high-profile meetings
- Update research and go through the database and CV (recruitment)
- Organize flights and hotels and any travel personal matters
- Research and analysis of overall office management
- Payments and invoicing
- Personal assistance: Book hotels, trains
- Financial and accounting - Invoicing and payments via e-billing platform
- Support us on the Genomines Wiki via Notion. Create simple content
Office management
- Office supplies management and refill
- Maintain high quality of leaving in the offices and at the Lab
❖ Support fixing issues in the Office and at the lab
❖ Ensure security plan and exists in the Office and at the lab
- Manage relationships with suppliers (Rzilient, Samsic, Amazon Business, Dell, etc.)
- Manage billing, contract and license renewal
- Management of office equipment (laptop, phones, badges, accessories, etc.)
❖ Order new IT equipment for new joiners
❖ Support with IT onboarding and offboarding (Pack office licenses and anti-virus licenses)
- Manage deliveries
- Support for internal and external events
Essential skills
Fluency in English and French
Strong verbal, written and presentation skills
Able to juggle between various responsibilities
Able to anticipate and mitigate unforeseen events and respond quickly to challenges
Have experience as an Executive Assistant Be proactive
Nice to have
Experience in working with a diverse and international team
Experience in start-ups, scale-ups or consultancy firms
