**Key responsibilities**

Accounting:
Overdue receivables management for HEM / Evac France: chase customers, update weekly action log, meeting with salespeople and input invoices on Intrum platform.

Ordering administrative supplies

General services contract management: Copiers, post, alarm, water fountains, coffee machines, cleaning, phones, cars (change of car, maintenance and claims), CC card and Insurance.

Accounting tasks (Evac France), including recording of supplier invoices and bank account daily balances, check monthly IC statement and Goods in Transit.

Other accounting tasks, including help with inventory, auditor tasks and HEM invoicing during logistics manager holidays.

Onboard Service:
Archiving/filing:
File invoices and reports once completed in the relevant blue file.

Give confirmed “onboard equipment check” information to relevant person. (Using SAP and PC)

Close Service call. Scan save Service reports/Commissioning sheets to “vessels” file on server.

Create “Vessel” file on server if not created. Provide proof of name change for file (if applicable).

Filing and updating “sanctions” forms and information.

Invoicing preparation/chasing/sending: Create sales orders “invoice ready” for accounting team and send relevant Survey questionnaires with invoices.

Occasional preparation of simple estimates on SAP following explicit information.

Occasional assistance with Service and workshop report document preparation and printing.

**Key requirements**

Previous experience working in a finance / administration environment.

Working to deadlines.

Forming good relationships with employees, customers and other stakeholders.

Experience of using SAP Business One beneficial.

English speaking skills an advantage.
