**Indian Affairs Coordinator - CDD (6 months)**

**Main Mission**

Ensuring a good functioning of the Indian Affairs department through a strong organisational support to the team and by establishing good relationships with International departments, regions and markets, and by managing general administration of the department, budget monitoring, high level external affairs and VIP events, logistics and team events.

**Key Responsabilities**

**1. Organizational support**
- Manage agenda of the Indian Affairs Director
- Organise travels for the team: reservations of tickets, hotels, visas, planning
- Organise meetings for the department
- Manage expense claims on Concur

**2. Manage Administration and Logistics**
- Ensure a good global functioning of the department
- Work on office space allocation of the department
- Manage the general services (Office space organisation, ordering of office supplies, furniture, equipments)
- Manage team planning (absences, holidays, meeting recaps, organigrammes)
- Manage integration and onboarding sessions of newcomers in the team, support in logistics, administration and ensuring a installation in office
- Be a true support and facilitator for the team

**3. Budget monitoring & managing external partners**
- Monthly follow up of budget and consolidation. Follow budget alignment with the lead India affairs manager on LE and yearly budget revisions
- SAP vendor creation for suppliers
- Submission of invoices and follow up with accounting to ensure timely payment
- Drafting of Non-disclosure agreements and contracts with India affairs managers and legal team for advisors and external partners

**4. Managing External affairs events, VIP visits and events for the team**
- Organize high level strategic VIP trips to India for top management (general coordination, build itinerary, coordinate with agency, hotels selection, experience selection, coordinating agenda with other departments & markets, networking meetings organization, ensure excellence in execution and operational excellence)
- Manage logistics
- Order and manage corporate gifts for VIP network
- Manage high level VIP visits to Cartier of influential network and strategic partners: example organize visit of delegations, diplomats, ambassadors to discover cartier in collaboration with India affairs manager
- Organise conferences and round-tables with external speakers in collaboration with India affairs manager
- Manage visits of VIP, think tanks and key influencers of the Indian community in collaboration with India affairs manager
- Organise events for team: celebrations, lunches, visits, seminars (selection of location, agencies, activities, animations, negotiate with agencies)

**5. Communication support for department**
- Sending newsletters and internal communication of the department within the Maison
- Drafting posts on communication platforms (social media, yammer etc)
- Build mailing lists
- Preparation of communication to external affairs network
- embassies, chamber of commerce, VIP external partners

**Your Profile**

Highly service oriented and result-focused, you have at least 5 years of experiences as an executive assistant or as an international department coordinator.

Rigorous and autonomous, you master the pack office (Excel, Word, PowerPoint).

Knowledge of the Luxury industry is definitely a plus.
