The headquarters gathers approximately 1000 employees and is distinguished by its strong international culture (45 nationalities), which makes it a rich and stimulating place to work.YOUR ROLE AND RESPONSABILITIES:Within the Group, you will join the GIE AXA Services department.Your job and daily missions:Ensure the organization and processing of various administrative or technical activities within the Support department to contribute to its smooth operation or that of other entities.1) OVERVIEW OF THE GENERAL POST RESPONSIBILITIESThe Logistics & Support Officer performs all of the following main activities:Collect and utilize necessary information, which may come from various sources.Create and manage badges on the Matignon site: manage Silva records for permanent employees, fixed-term contracts, service providers, interns, and apprentices; assign access groups based on their locations; record information in the Evolynx software, and in the future, the Planon application for self-declaration and tracking personnel movements.Manage the allocation of lockers via Releezmee.Interact with external service providers (Multitechnical, Cleaning, Security Agents, Company Restaurant, Handlers) to resolve administrative issues according to established procedures.Propose improvements and adaptations to the entire procedural normative framework to superiors.Respond to information requests, draft reasoned responses, and prepare formatting (letters, tables, reports) from documents.Process certain orders (Lyreco and various suppliers) in accordance with established procedures.Handle daily parking requests for 25 Matignon.Participate in weekly planning meetings with the Events and Logistics departments.Ensure the proper setup of meeting rooms across all buildings according to the daily schedule, including the private mansion.Manage relocations and coordinate with companies working on-site.Perform any tasks requested by superiors that are compatible with the role, such as reprography and mail services.2) DIMENSIONS AND CHARACTERISTICS OF THE POSTOrganize work related to setting up meeting rooms and salons within the private mansion.Daily creation or modification of layout plans and transmitting reports on the staff of the GIE AXA.Transmit summarized reports on surface area calculations 3) OPERATIONAL CONTEXT OF THE POST AND KEY CHALLENGESThe incumbent must ensure the quality of work and its follow-up.The position requires adaptability and continuous responsiveness; the ability to find effective solutions to various requests or situations encountered daily is essential. The incumbent will participate in organizing the work of handlers to prevent redundant activities that could cause loss of time and energy.Acts as a communication link between different departments to ensure smooth operation of the logistics service.The position requires knowledge of computer tools.Manages requests from GIE employees and other entities autonomously Must adapt to a workload with peaks of activity.May perform reprography services during absences of dedicated staff, ensuring timely delivery with quality considerations.Must be highly available and very reactive.Must have a level of English sufficient for high-quality reception of English-speaking colleagues at the GIE.4) MAIN ACTIVITIES OF THE POST / KEY ACTIVITIESStay informed about evolving techniques within the G.I.E.Ensure proper badge management while respecting established security measures.Prioritize actions to reduce delays for urgent requests.Work must be carried out daily without delays.Stakeholders: AXA employees at all levels. Control the service provided by handlers (setup of meeting rooms and private mansion), according to schedules, and manage the receipt and storage of large deliveries (pallets), as well as the receipt and delivery of parcels for employees.Control the service provided by cleaning teams and organize additional support if needed.Manage companies working on-site (movers, carpenters, etc.).
