ROLE
Finance and Administration Coordinator – Full time – Paris 11
You have a Bachelor’s or Master’s degree in management, administration, accounting or a related field, backed by 4 to 6 years of experience in a polyvalent management role.
You are rigorous, organized and autonomous, with the ability to manage several subjects simultaneously, prioritize effectively and take ownership of your responsibilities from A to Z.
You thrive in demanding and fast-paced environments where priorities can evolve quickly, and you are comfortable managing deadlines, unexpected situations and multiple stakeholders.
You will act as a key support to the Finance and Administration Manager and contribute directly to the smooth running and structuring of the agency.
PROFILE
As Finance and Administration Coordinator, you will cover administration and finance, internal coordination, resources, tools and logistics.
Your main responsibilities will include:
• Managing client and supplier invoicing
• Checking, processing and monitoring invoices
• Preparing and following up on supplier payments
• Managing expense reports
• Handling the administrative follow-up of freelancers and external providers
• Contributing to the analytical monitoring of projects with production teams
• Monitoring committed expenses and ensuring consistency with project budgets
• Ensuring the reliability, organization and filing of administrative and financial documents
• Ensuring compliance with internal procedures and administrative requirements
• Managing office supplies, equipment and resources
• Coordinating exchanges and interventions with external providers
• Supporting the onboarding of new employees (admin, IT..)
• Managing agency tools, subscriptions and user access
• Coordinating with the IT service provider
• Organizing business travel, transportation and accommodation
• Contributing to the agency’s CSR and compliance initiatives
• Participating in the continuous improvement of internal processes and tools MUST-HAVES
• Bachelor's or Master's degree in management, administration, accounting or equivalent
• 4 to 6 years of experience in a similar or versatile management role
• Strong administrative, financial and accounting knowledge
• Excellent organizational skills, attention to detail and ability to manage priorities
• Autonomy, adaptability and ability to work effectively under pressure
• Excellent interpersonal and communication skills
• Professional English, written and spoken
• Proficiency in Mac & PC environments
• Sensitivity to creative, lifestyle and luxury environments SKILLS
• Invoicing, supplier payments and expense reports
• Budget and project monitoring
• International VAT rules
• Analytical project tracking
• Process improvement and internal coordination
• Logistics and travel management
• Microsoft Office / Excel / Pennylane / DocuSign / Slack / AI tools

€38–42K depending on profile and experience Contract: Permanent – CDI

Working hours
39 hours/week Remote work: 2 days/month Perks:
