Job Summary We are looking for an experienced and proactive Administrative Assistant to join our team in Paris. Reporting to the Finance and Administration Manager, you will provide essential day-to-day administrative support and ensure the smooth running of administrative operations across our three French entities. This is a hands-on, operational position requiring strong organisational skills, attention to detail and a high degree of autonomy. We are looking for someone who already has a solid foundation in administrative assistance and can quickly take ownership of recurring responsibilities. The position involves close collaboration with management, employees, suppliers and other internal and external stakeholders in a professional and international environment. Your Mission Your mission will be to provide reliable, proactive and independent administrative support to the Finance and Administration Manager, ensuring that administrative activities are handled accurately, efficiently and on time. You will take ownership of day-to-day administrative matters, anticipate needs, follow up on outstanding actions and help maintain structured and effective administrative processes across our French entities. Your contribution will allow the Finance and Administration Manager to focus on broader responsibilities, knowing that daily administrative operations are being managed reliably. Your Tasks
• Manage day-to-day administrative activities, correspondence, documentation and requests across our three French entities.
• Prepare, organise, update and maintain administrative records, contracts, files and internal tracking systems.
• Support administrative and financial processes, including purchase orders, quotations, invoices, expense documentation and related follow-ups.
• Coordinate with suppliers and external service providers, ensuring timely follow-up of requests, orders, deliveries and administrative matters.
• Maintain accurate records and inventories of office equipment, supplies and other operational resources.
• Support office administration, facilities-related requests and the coordination of routine operational activities.
• Assist with administrative aspects of employee onboarding, offboarding and internal organisational procedures, in coordination with the relevant teams.
• Proactively monitor deadlines, follow up on outstanding actions, identify discrepancies and escalate issues when necessary.
Your Profile
• Proven experience in an Administrative Assistant or similar hands-on administrative role, with the ability to work independently from the outset.
• Excellent French, both written and spoken (C2 level).
• Strong professional English, both written and spoken (C1 level), enabling effective communication within our international organisation.
• Excellent organisational skills, attention to detail and the ability to manage several administrative tasks and deadlines simultaneously.
• Proactive, reliable and resourceful, with a natural ability to anticipate needs, take initiative and follow tasks through to completion.
• Good command of Microsoft Office, particularly Excel, Word, Outlook and Teams, and confidence using administrative and digital tools.
• Strong interpersonal skills, professional discretion and the ability to communicate effectively with management, colleagues and external stakeholders.
• A practical, service-oriented mindset, with a genuine interest in hands-on administrative work and the ability to adapt quickly to internal procedures. Why Us
• Join an established European consultancy supporting innovation and research across multiple sectors.
• Become part of an international organisation with colleagues across 10 European countries.

• Enjoy a permanent French employment contract (CDI) and a salary of €32,000–€36,000 gross annually, depending on experience.
• Work from our Paris office, with occasional exceptional remote working potentially possible after the probationary period, subject to operational needs.
