DescriptionTo replace a maternity leave, we are looking for an Office and Admin Manager for a 5-month fixed-term contract from June to end of October 2024. 

Key ResponsibilitiesOffice Management:
  • Management of external service providers (selection and management of appropriate partners, relationship management, payment processing).
  • Order and manage stock of general office supplies.
  • Processing incoming and outgoing mail, filing and archiving documents (invoices, contracts, HR correspondence, etc.).
  • Identify team needs and make suggestions for improvement.
  • Ensure a quality working environment in the office
Administrative & HR support:
  • Organize onboarding and offboarding of employees
  • HR assistance with employment contracts and other necessary documents
  • Preparation of monthly pay slips in collaboration with our accountant (consolidation of working hours, sick leave, days off, verification of pay slips; dispatch of pay slips to the team).
  • Assistance with accounting (researching, checking and forwarding invoices to the accountant)
  • Team contact for HR issues
  • Supporting the team on various administrative and HR matters (researching training courses, managing reimbursements with OPCO, gathering documents to obtain a visa, etc.).
Events : 
  • Organization of team events 

Skills, Knowledge and Expertise
  • 2+ years' experience in office management or multi-skilled assistant work 
  • Excellent organizational and time management skills: You must be able to work independently and on several projects at the same time.
  • Positive attitude: you're a team player with a solution-oriented approach.
  • Hands-on mentality: you are proactive in taking responsibility for a multitude of tasks.
  • Professional English is mandatory

Salary : between 2900 € and 3300 € gross per month Upway's mission is to make electric mobility accessible to everyone.
