The Job

Responsibilities:

  • Coordinate and schedule meetings, manage calendars, and ensure all parties are informed of upcoming commitments.
  • Handle administrative tasks such as managing invoices, preparing proposals and agreements based on templates, and maintaining meticulous records.
  • Facilitate internal and external communication, including managing emails, calls, and messages including via platforms like WhatsApp.
  • Utilize QuickBooks for financial tasks, and ensure accuracy of financial data.
  • Maintain and organize digital files, ensuring proper file hygiene and accessibility in systems like Google Drive.
  • Support daily operational tasks of the CEO, helping to streamline processes and enhance productivity.

The Profile

Qualifications:

  • Strong experience with office management systems like QuickBooks, Asana, Pipedrive, and CRM platforms.
  • Proficient in using scheduling and communication tools such as Zoom and Google Calendar.
  • Excellent command of the English language, with superior writing and reading skills to effectively liaise with stakeholders in the region.
  • Proven ability to manage time effectively, prioritize tasks, and meet deadlines.
  • Experience in handling confidential information and multitasking in a fast-paced environment.
  • Prior experience in administrative roles, ideally supporting senior management or in a similar business setting.
