In line with the Strategic Orientations of the Secretary-General, the core mission of the OECD's Directorate for Financial and Enterprise Affairs (DAF) is to assist markets to fund inclusive economic growth, and in turn Better Lives, through setting and implementing standards, providing capacity building and technical assistance, acting as a forum for co-operation and collaboration across the OECD Directorates, external stakeholders and International Organisations.

DAF's work is structured under two work areas - Conduct and Markets - and its mission is pursued through seven substantive divisions whose teams provide member and partner countries with policy guidance, analysis and support in the areas of competition, anti-corruption, corporate governance and corporate finance, financial markets, consumer finance, insurance and pensions, international investment and responsible business conduct.


Main Responsibilities
Events co-ordination

  • Oversee and assist in the organisation of meetings and events in Paris and abroad, including the meetings of the Committees/Working Group and their subsidiary group Meetings. This will include where relevant, coordination with, local event organisers; meeting room reservation, catering arrangements, preparation of relevant meeting documents and maintenance of participants lists.
  • Update web pages for promoting the visibility of the Divisions projects and upload conference materials for access by participants, in coordination with the Divisions' Communication officer.
  • Liaise closely with all stakeholders to ensure smooth communication on all logístical aspects of meetings.
  • Assist the Divisions' Resource Management Advisor (RMA) in providing guidance and advice to staff on rules on travel expenses, in particular with reference to the OECD procedures and EU financing.
  • Monitor the Division's conference room, translation and interpretation Quota.
Other tasks

  • Assist the RMA with human resources and recruitment related tasks, in particular recruitment of Interns.
  • Advise programme managers on procedures and thresholds, prepare contracts and purchase orders, financial commitments, and payment orders. Respond to all queries from consultants concerning contracts and payments.
  • Liaise with and respond to queries from within the OECD, as well as from member country delegates, meeting participants and outside institutions.
  • Maintain mailing lists and update the contact list as appropriate.
  • Draft routine correspondence in both official languages ensuring that deadlines are respected.
  • Provide backup assistance to the other support staff in the Division, as necessary.
  • Format, edit and proofread documents, reports and publications, including texts, tables and graphs, for official use in both official languages and according to OECD standards. Liaise and follow up with the appropriate services for document translations and publications.
  • Provide guidance, train and support new assistants in the Divisions on administrative procedures.
  • Work in close collaboration with the other Divisions' Assistants.
Academic Background

  • A secondary level of education.
Professional Background

  • Relevant experience in similar assistant roles, preferably in an international environment.
  • Experience in the preparation (formatting, editing and proofreading) of documents/publications.
  • Experience in the organisation of largescale meetings abroad and events and business travel.
Tools

  • Knowledge and experience in the use of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Excellent command of the OECD's software package and corporate tools or ability to learn and adapt to new tools quickly.
  • Knowledge of OECD video conferencing facilities and communications tools or a capacity and willingness to learn quickly.
Languages

  • Fluency in one of the two OECD official languages (English and French) and good knowledge of the other, with a commitment to reach a very good working l
