**Position**:
**Key administrative and logístical responsibilities will include**:

- Supporting the CEO EA and working with the Director of the CEO office to maintain a
- professional, well organized administrative support system for the CEO
- Support coordination on external engagements between the CEO and Managing Director with
- the Managing Director’s Assistant
- Providing the full-spectrum of administrative and logistics support to the CEO Office
- Booking venues and coordinating logistics on events organized by the CEO Office in coordination
- with the Managing Director’s Assistant, ECF Staff and consultants. These include flagship events
- such as the Partners Retreat and the All-Staff Retreat, as well as relevant team retreats.
- Providing support with scheduling, making travel and hotel arrangements as well as managing
- expenses for the CEO and the Director of the CEO Office
- Managing travel and hotel arrangements for team members travelling together with the CEO, in
- close coordination with the CEO’s EA and the Managing Director’s Assistant
- Replacing the CEO EA during their absence, including scheduling of CEO’s meetings, overseeing
- CEO’s calendar, tracking incoming invitations and requests (internal and external) and managing
- CEO’s travel, in close consultation with the Director of the CEO Office and the Managing Director
- Providing hands-on support with daily tasks related to the CEO, such as sending letters,
- organizing transport, tracking and liaising with IT service in case of IT issues or tracking missing
- expenses when requested European Climate Foundation 2
- Undertaking other reasonable duties as requested by the Managing Director or the Director of
- CEO Office

**Requirements**:

- Experience and competencies
- Between 3-5 years of work experience in a similar administrative position
- Experience in managing busy schedules
- Experience in the organization of events
- Proactive attitude, desire to take initiative
- Good level of English and French (written and spoken)
- High attention to detail, diligence and reliability
- Proficiency with Microsoft Outlook, Excel and PowerPoint
- Excellent skills in planning and prioritising
- Flexibility and capacity to manage own workload
- Tactful with colleagues and discrete with high-level information
