Summary:
Provides analytical and specialized administrative support to relieve executive, administrative, and line and staff managers of complex details and advanced administrative duties. Executes special or continuous research and data analysis tasks. Analyzes problems, determines approach, compiles and analyzes data, and prepares reports/recommendations. Coordinates activities between departments and outside parties. Contacts company personnel at all organizational levels to gather information and prepare reports. Work is generally of a critical or confidential nature. Assignments may be found in various functional areas.

Duties & Responsibilities:

To replace our current Project Assistant Coordinator, the Projects team is looking for its new team member to assist on the management of the projects of the business unit. The activity is based in our St-Herblain site, but involves supporting our Turin and Cairo teams.

Essentially, we are looking for an enthusiastic person, willing to work in an environment requiring flexibility and reliability
- Main daily missions_:
Project costs:
Keeping costs per project updated;

Supporting the Operations team to keep costs aligned per projects;

Chasing Customer Project Managers to have all hours booked (deployment, R&D, etc);

Purchasing:
Purchasing activities according to BU-Corporate requirements (Oracle);

Supporting finance & Oracle teams when required

Manage the quality - including ‘auditing’:
Implementing new quality processes, aligned with the BU and VIAVI requirements;

Keeping quality documentation updated;

Local team support:
Helping organizing the travels;

Helping with the Expenses report;

Managing the agenda;

Managing the building works and needs (establish quotes, maintain the contracts about general services: water, electricity, basic supplies);

Managing mails, DHL;

Meeting organisation when required from HR or Executive;

Organizing/supporting day-to-day events (breakfasts, specific lunches, team building activities );

Required Qualifications & Experience

Soft Skills:

- Strong organization and autonomy skills
- Adaptability to different work environments (local friendly “small organization” spirit / corporate executives / long term external partners )
- Taste for multitasking
- High positive energy level
- High reliability

Hard Skills:

- Strong experience as a PMO, ideally in an industrial environment
- Excellent level of written and verbal communication
- Purchasing and customer/supplier management relationship experience
- Ability to take the initiative to review, prioritize, and make decisions as to what is routine versus what is critical, with little supervision, and under pressure of deadlines
- Fluency in English

Education/Experience:

- 5-10 years experience in general, including in a corporate company
- Higher education diploma (Bac+2/3)

Would be a plus:

- Experience in an international company
- Knowledge of Italian
