Job Summary:
Orchestrade is seeking an experienced Office Manager to join our team in Paris or London. As the key HR point of contact for both offices, you will be responsible for ensuring a seamless onboarding and offboarding process for employees, managing employee benefits, and coordinating payroll with external providers.
Key Responsibilities:
- HR Administration:
• Manage employee data in our HR system, ensuring accuracy and compliance with company policies.
• Coordinate the procurement of office supplies and equipment, and manage vendor relationships.
• Oversee the maintenance and cleanliness of the office environment, and coordinate repairs or replacements as needed.
• Manage the office budget, ensuring cost-effectiveness and adherence to company policies.
• Handle incoming and outgoing mail efficiently.
HR Projects:
• Support the Head of HR in implementing organizational changes, policy implementations, and process improvements for both offices.
• Conduct work council meetings in France, ensuring compliance with local regulations.
Recruitment & Onboarding:
• Assist in recruitment by posting job openings and coordinating interviews with hiring managers.
• Prepare bespoke onboarding programs for new starters, and conduct HR induction content in alignment with company guidelines.
Learning and Development:
• Liaise with external training providers to develop employee training plans, and maintain records of employee training.
Employee Engagement:
• Help maintain a positive work environment that promotes employee engagement, satisfaction, and retention.
Compliance:
• Address day-to-day HR queries, ensuring compliance with all legal requirements.
• Manage immigration and visa processes for employees.
Requirements:
• Proven experience in a startup as an office manager/HR or in a similar administrative role.
• Fluent in English and French.
• Excellent communication and interpersonal skills.
• Proficient in Microsoft Office Suite and other relevant software applications.
• Knowledge of basic financial management principles.
• Background in HR with a focus on French employment law.
• Bachelor's degree in HR or a related field.
• Ability to work independently and collaboratively in a fast-paced environment.
• Frequent travel to London/Paris is expected.
