Project Management Assistant/Receptionist

Groupe GDI, a leading provider of thermal insulation, passive fire protection, and acoustic correction services, is seeking a highly organized and detail-oriented individual to fill the role of Project Management Assistant/Receptionist.

Main Responsibilities:

Administrative Support:

  • Manage and coordinate administrative tasks, ensuring seamless communication between departments and teams.
  • Prepare and distribute important documents, reports, and contracts to stakeholders.
  • Handle mail and correspondence, maintaining a high level of professionalism and discretion.
  • Coordinate travel arrangements and accommodations for employees and clients.
  • Provide exceptional customer service, welcoming visitors and ensuring a positive experience.

Project Support:

  • Assist project managers in coordinating tasks, tracking progress, and ensuring timely completion.
  • Monitor and maintain accurate records of project-related documents, contracts, and correspondence.
  • Prepare and review project-related reports, proposals, and quotes.
  • Collaborate with cross-functional teams to ensure effective project execution.

Commercial and Technical Administration:

  • Support commercial and technical teams in managing orders, contracts, and customer relationships.
  • Assist in maintaining accurate records of customer interactions, orders, and contracts.
  • Prepare and review commercial quotes, proposals, and contracts.
  • Coordinate with suppliers and subcontractors to ensure timely delivery of materials and services.

Required Skills:

  • Proficiency in computer software applications, including MS Office and SAGE.
  • Excellent communication, organizational, and time management skills.
  • Ability to work independently and as part of a team.
  • Attention to detail and ability to maintain confidentiality.

1-3 years of experience in the construction industry is preferred.
