The Hôpitaux Universitaires de Strasbourg (HUS) is a prominent institution in the Grand Est region, recognized among the leading French university hospitals, dedicated to care, education, and research.
With a network of 5 hospital locations, structured into 21 clinical and medico-technical activity poles, we offer a total of 2,750 beds and places, alongside a logistics pole and 7 educational and training institutes.
Employing over a thousand medical and non-medical professionals, the regional university hospital center of Strasbourg stands as the largest employer in Alsace.
Mission
Conducting Studies on Workload and Organization of Medical Secretariats:Engaging with Managers, Physicians, and Secretaries through interviews.
Performing on-site observations to evaluate organizational structures.
Analyzing activity data from various Units, Services, and Poles.
Assessing patient flows and pathways.
Formulating organizational recommendations and implementing innovative tools.
Monitoring and evaluating the effectiveness of implemented actions.
Providing support to teams during reorganizations and transitions.
Assisting Managers, Physicians, and Secretaries in their roles.
Ad Hoc Human Resources Missions:Overseeing the Administrative Compensation and Replacement Team.
Handling various administrative responsibilities related to recruitment, internal mobility, training, and more.

REQUIRED SKILLS
Expertise
Strong organizational and anticipatory capabilities.
Proficient in analyzing and interpreting documents related to activity data.
Demonstrated rigor and reliability in work processes.
Excellent writing skills.
Ability to facilitate meetings and workgroups effectively.
Fluency in the French language, including spelling, grammar, and syntax.
Proficient in office software: Word, Excel, Outlook, PowerPoint.
Comfortable with IT tools, ensuring quick adaptation to institutional software.
Familiarity with professional tools, particularly Dx Planning and Dx Care, is a plus.

REQUIRED KNOWLEDGE
Understanding of the Medical Secretary profession and its evolution.
Knowledge of the organization of medical secretariats within healthcare and medico-technical services.
Familiarity with the operation and organization of a University Hospital Center.
Project management methodologies.
HIERARCHICAL RELATIONSHIPS
Reports to the Coordinator of Medical Secretariats.
Collaborates with Directors of the Human Resources Pole.
INTERNAL FUNCTIONAL RELATIONSHIPS
Engages with all members of the CSM and the Administrative Compensation and Replacement Team.
Works alongside all professionals within the Human Resources Pole.
Interacts with healthcare and medico-technical service professionals: Pole Managers, Proximity Managers, Physicians, Secretaries, Biologists, etc.
Collaborates with all functional Directors of the Institution.
POSITION SPECIFICS
Travel: Regular travel across all sites of the Facility.
Availability for Evening Meetings: Occasionally required.
Mandatory Vaccinations:
Up-to-date vaccinations: BCG, DT Polio, and Hepatitis B (3 injections) along with serology to be provided upon recruitment.
Risks Associated with the Position: Screen work and travel.
Applicable Work Hour Regulations: General regulations apply.
Leave/RTT (full year): 28 days of annual leave; 15 RTT days (minus 1 solidarity day).
Mandatory Badging
Lunch Break: Minimum of 30 minutes.
POSITION REQUIREMENTS
Role: Medical-Administrative Assistant.
Profession: Medical Secretary-Medical-Administrative Assistant.
Educational Level: Minimum of Baccalaureate / BTS.
Diploma(s): BAC F8, BAC SMS, BAC ST2S, BTS.
Experience / Good Knowledge: Familiarity with the Medical Secretary profession and its requirements and evolution.
