About the Role

The Assistant Agency Coordinator will provide administrative support to the Agency Director, ensuring the smooth operation of the agency. This role involves a range of tasks, including:

Administrative Support

  • Assisting with the management of the agency's administrative tasks, including correspondence, scheduling, and record-keeping.
  • Providing support with the preparation of reports and presentations.
  • Coordinating travel arrangements and managing the agency's calendar.

Communication and Liaison

  • Acting as a liaison between the Agency Director and various stakeholders, including internal and external partners.
  • Providing communication support, including drafting and sending correspondence, and making phone calls.

Financial Management

  • Assisting with the management of the agency's finances, including preparing invoices and tracking expenses.
  • Providing support with the preparation of financial reports and budgets.

HR Support

  • Providing support with HR-related tasks, including employee onboarding and offboarding, and managing employee records.
  • Assisting with the coordination of employee benefits and compensation.

Other Responsibilities

  • Providing general administrative support to the Agency Director and other team members.
  • Assisting with special projects and initiatives as needed.

Requirements

To be successful in this role, you will need:

Education and Experience

  • A minimum of 5 years of experience in an administrative role, preferably in a similar industry.
  • A degree in Business Administration or a related field.

Skills and Qualifications

  • Excellent communication and interpersonal skills.
  • Strong organizational and time management skills.
  • Proficiency in Microsoft Office and other administrative software.
