Job Summary

The Broadcast Venue Management Coordinator plays a key role in supporting the Host Broadcast (HB) Venue Management team in Miami. This position is responsible for maintaining and updating various administrative, project management, financial, and project tools used across HBS for the FIFA Club World Cup 2025.

Main Responsibilities

  • Enter relevant information and data in corporate HBS tools, working closely with the Project Management Office (PMO).
  • Assist Venue Management members in monitoring project progress and ensuring alignment with timelines and key milestones.
  • Maintain communication and liaise with other divisions and departments to ensure synchronous working and proactive alignment on target dates and procedures.
  • Plan regular meetings on behalf of the VM team to ensure necessary follow-up and coordination on ongoing projects.
  • Assist VM members in drafting agendas, presentations, and minutes for internal and external sessions.
  • Coordinate travel arrangements and accommodation needs for VM staff members in cooperation with the logistics department.
  • Support VM members in preparing and developing project-related documentation.
  • Coordinate staffing plans through relevant tools to provide information to Logistics, Human Resources, and IT.
  • Liaise with appointed suppliers to implement staffing and logistics plans.
  • Assist the VM department in elaborating the Purchase Order (PO) process and verifying invoices according to HBS financial procedures.
  • Coordinate with another VM coordinator to maintain consistency across department and project-related activities.

Language Requirements

  • English fluent (Spoken & Written).

Travel Requirements

  • US (Occasionally).
