Position Overview
Job Title/Function: Broadcast Venue Management Coordinator Department: Venue Management (VM), part of the Broadcast Sites, Operations & Services Division Reports to: Senior Broadcast Venue Manager (SBVM)Objective
The Broadcast Venue Management Coordinator is an integral member of the Host Broadcast (HB) Venue Management team and is essential in facilitating the team's daily operations concerning various FIFA initiatives.
Based in the HBS office, the primary duty of the Coordinator is to manage and enhance the various Administrative, Project Management, Financial, and Project tools utilized across HBS for the FIFA Club World Cup.
The Coordinator plays a vital role in ensuring departmental activities are aligned and provides support to the Broadcast Venue Managers (BVM). This position serves as the primary Venue Management liaison for coordinators in similar roles across other HBS divisions.
Key Responsibilities
Preparation
Enter relevant data into corporate HBS tools while collaborating closely with the Project Management Office (PMO). Assist VM team members in tracking project progress and ensuring alignment with timelines and key milestones. Maintain effective communication with other divisions to promote a synchronized approach to workflows and proactive alignment on deadlines and procedures. Organize regular meetings for the VM team to facilitate necessary follow-ups and coordination on ongoing projects. Aid VM members in preparing agendas, presentations, and minutes for both internal and external meetings. Coordinate travel and accommodation arrangements for VM staff in collaboration with the logistics department. Support VM members in creating and developing project-related documentation. For each event, manage staffing plans through relevant tools to provide necessary information to Logistics, Human Resources, and IT. Collaborate with designated suppliers to execute their staffing and logistics strategies. Assist the VM department in managing the Purchase Order (PO) process and verifying invoices in accordance with HBS financial protocols. Work with another VM coordinator to ensure consistency across all departmental and project-related activities.Operations
Provide support to the Senior VM team in the International Broadcast Coordination Centre (IBCC) with daily tasks. Oversee the execution of the VM department's staffing plan and assist in urgent situations requiring immediate attention. Ensure that Broadcast Venue Managers (BVM) receive timely updates and information. Support on-site personnel in utilizing company event tools effectively.Required Skills and Qualifications
