Role Overview: As an Executive Assistant, you will play a crucial role in supporting the Business Unit (BU) and ensuring smooth operations. Your responsibilities will include:

  • Facilitating communication within the BU and across other teams,
  • Assisting in the onboarding process for new employees,
  • Organizing and distributing incoming information to relevant personnel,
  • Providing support for various BU activities as required,
  • Notifying the BU Director of important matters,
  • Managing and optimizing the schedule of the BU Diagnostic Director, including travel arrangements,
  • Reviewing documents and securing necessary approvals,
  • Formatting and tracking diverse documents, including presentations,
  • Conducting research using available resources,
  • Entering internal orders into the ERP system and monitoring their status,
  • Coordinating shipments of documents and equipment,
  • Generating weekly performance indicators for the BU Diagnostic,
  • Organizing seminars for the BU Diagnostic,
  • Maintaining comprehensive knowledge of organizational standards to provide exceptional service,
  • Handling sensitive information with the utmost discretion.

Candidate Profile: We are looking for a candidate with a relevant background in assistance or a similar field, possessing a minimum of three years of experience in a dynamic international setting. The ideal candidate will be organized, detail-oriented, and capable of working autonomously while demonstrating excellent interpersonal skills. Proficiency in digital tools and MS Office (Word, Excel, PowerPoint) is essential, along with fluency in French and English; knowledge of an additional language is advantageous. This position reports directly to the BU Diagnostic Director.
