Position Overview

We are seeking a dedicated individual to join our team as an assistant to the site manager and supervisory staff, focusing on the administrative functions essential for the efficient daily operation of personnel and resources.

Key Responsibilities:

  • Assist management with day-to-day operations by overseeing administrative tasks related to personnel management using Kelio and Peopulse software;
  • Handle and forward administrative documents concerning employee time management to the HR department;
  • Work alongside the Agency Manager to coordinate with temporary staffing agencies and manage invoicing for temporary personnel;
  • Support managers in compiling reports and dashboards that reflect HR, quality, and safety performance metrics;
  • Ensure the procurement and monitoring of agency supplies and personal protective equipment;
  • Organize mandatory and optional training sessions, arrange travel logistics, and prepare for on-site activities;
  • Gather and verify hiring documentation and submit it to the HR department.

Qualifications

The ideal candidate will possess a higher education degree (Bac+2) in executive assistance or a related field, along with proven administrative experience, preferably within the transport, logistics, or industrial sectors. Strong written, analytical, and synthesis skills are crucial, as is the ability to work both independently and collaboratively. Proficiency in the Microsoft Office suite is a requirement.

This role offers daytime working hours.
