We are seeking a highly organized and detail-oriented Production Coordinator to support our Production Managers in developing and managing multiple deliverables during the preparation and operational phases of various events.
Main Responsibilities- Coordinate tasks within the production department, ensuring seamless execution of events.
- Organize and maintain reference documents, event-specific briefings, and documentation.
- Contribute to production workflows and organizational structures, ensuring efficient project management.
- Liaise with all HBS departments, including Engineering, Logistics, and HR, to ensure effective communication and collaboration.
- Coordinate with sub-contractors on administrative and logistical matters, ensuring timely and cost-effective delivery.
- Assist Production Managers with budget cost tracking, ensuring accurate financial reporting.
- Raise purchase orders, process invoices, and contribute to contracts, ensuring compliance with company policies.
- Previous experience as a Production Coordinator or Production Assistant, with a focus on event production.
- Excellent attention to detail, with experience in processing production-related paperwork, such as running orders, cue sheets, and call sheets.
- Fluent in English, with Spanish and French proficiency a plus.
- Ability to multitask, switch between multiple projects, and adapt to changing priorities.
- Strong communication and interpersonal skills, with a proactive work attitude.
- Excellent computer skills, with a good understanding of Microsoft Office, especially Excel and PowerPoint.
- Open to travel, including long-term stays, and willing to work a minimum of 3 days per week in the office in Paris/Boulogne.
