Provide comprehensive, high quality and efficient diary, travel, and administrative support to their Line Manager, and their Line Manager’s department where agreed with Line manager. The PA is expected to act with professionalism and integrity at all times, and engage with the PA community in regular, structured and respective manner.
Key accountabilities:
**_ Invoices record and team support_**
a. Manage and process all team’s invoices related to events for AXA and third party clients in CODA’s tool
b. Organise breakfast meetings, lunches, dinners, events on behalf of line manager and team, ensuring equipment, stationary, venues, catering, invites, and are arranged prior to meeting
c. Works with a high level of integrity, confidentiality and discretion at all times
d. Schedule complex meetings for line manager and Provide agenda, appropriate time, and directions where complex, and update meeting invites where necessary
e. Gifts & Hospitality records for line manager and department (where agreed with line manager)
f. Manage leave and holiday requests for line manager and department (where agreed with line manager), highlighting with key stakeholders where appropriate
**_ PA Team Objective_**
In In conjunction with the CEO’s appointed representative;
a. Engage and communicate across the PA team regularly:
i. Ensuring that there are regular PA meetings, at least monthly with a documented agenda, and agreed actions that are tracked
ii. Weekly and/or daily contact between PAs to arrange and co-ordinate appropriate holiday cover, lunch cover and on an exceptional basis reception/telephone cover
b. Act at all times with professionalism, integrity and respect to clients, staff, line managers and each other
c. Treat PA community with equal status, adopting a flexible and pragmatic approach of understanding line manager’s current duties within the firm and in respect of changing business needs/priorities.
**_ Risk and Control_**
a. Support and maintain effective risk and control environment
b. Ensure awareness of and identification of potential or actual risks in relation to role, escalating as appropriate to line manager, and if necessary Architas risk team
c. Comply with Architas and AXA procedures and controls
d. Comply with Architas and AXA policies as appropriate, completing mandatory eLearning modules on Gifts & Hospitality Bribery Act, Data Protection, Anti-Money Laundering, etc to agreed timescales
e. Respecting at all times discretion in relation to privileged and sensitive information received within the course of work duties carried out
**QUALIFICATIONS**

**Your knowledge and skills**:
- Educated to minimum of A Level or above
- Good experience of similar roles or experience operating at either PA Level or Office Manager level.
- Excellent communication skills both verbal & written, maximises networking skills
- Good knowledge of admin software e.g. Word, PowerPoint, Excel.
- Expert knowledge of Outlook & other appropriate in-house systems
- Highly developed prioritisation & organisation skills
- Excellent knowledge of the AXA organisation and appropriate Functions
- Highly professional approach coupled with high levels of confidentiality
- Strong influencing skills
- Flexibility, adaptability & able to multi-task in a fast-paced commercial environment
- Ability to work effectively in a team and build relationships
