The Role:

We are seeking a detail-oriented and service-minded Personal Assistant with administrative experience (law firm experience is not required but an advantage). Discretion and the ability to handle confidential information are essential. The ideal candidate is organised, rigorous, proactive, and able to anticipate needs.

Key Responsibilities:

  • Manage and coordinate calendars and organise meetings both in-person and via Zoom/Teams.
  • Organise and monitor business travel and prepare for hearings with the colleague responsible for the case (ensuring all documents are available and well-organised).
  • Prepare expense reports and invoices.
  • Provide a welcoming presence for clients, both by phone and in person.
  • Offer legal support, including creating and updating files (both paper and digital).
  • Track procedural deadlines: enter them in the calendar, receive submissions, file them on the server (with the colleague in charge), and ensure all parties meet deadlines.

Requirements:

  • Proven administrative experience (not necessarily in a law firm).
  • Attention to detail and discretion with confidential information.
  • Organised, rigorous, service-minded, and proactive.
  • Languages: Full professional proficiency in English, Basic proficiency in French, Dutch language skills are an advantage
  • Computer skills: Microsoft Office (Word, Excell, PowerPoint)
